These documents apply to QOOBIX, a private, provisioned market-intelligence application operated by Sienda Ltd.


Privacy Policy

2.1 About this Privacy Policy

This Privacy Policy explains how Sienda Ltd collects, uses, stores, shares, and protects personal data in connection with QOOBIX.

Sienda Ltd is the controller of personal data processed for the operation and administration of QOOBIX, unless otherwise agreed in writing.

2.2 Personal data we may collect

QOOBIX may collect or process the following types of data:

  1. Client contact details, such as name, business email address, company name, and role.
  1. Client configuration data, such as client name, private access name, preferred language, available report types, and file retention settings.
  1. Business profile data, such as sector, business description, website, products and services, target countries, customer types, channels, known competitors, known representatives, distributors, or partners.
  1. Request data, such as market questions, commercial objectives, target countries, products or services to analyse, known competitors, known partners, preferred output language, and requested report types.
  1. Access data, such as hashed access codes, hashed recovery phrases, session information, and private access status.
  1. Job metadata, such as request status, creation time, completion time, errors, report generation status, and operational logs.
  1. Generated file metadata, such as file name, file type, storage path, creation date, expiry date, and download availability.
  1. Technical data, such as IP address, browser type, device information, operating system, session cookies, and security logs.

QOOBIX is not designed to collect excessive personal data. Clients should avoid entering personal data unless necessary and lawful.

2.3 How we use personal data

Sienda Ltd may use personal data to:

  1. Provision and manage private QOOBIX access.
  1. Configure client environments.
  1. Authenticate client sessions.
  1. Process market-intelligence requests.
  1. Generate DOCX and XLSX outputs.
  1. Provide support and troubleshooting.
  1. Manage file retention and cleanup.
  1. Maintain security and prevent misuse.
  1. Keep operational logs.
  1. Comply with legal, contractual, and accounting obligations.
  1. Improve the reliability and usability of QOOBIX.

2.4 Lawful basis for processing

Sienda Ltd may process personal data under one or more of the following lawful bases:

  1. Contract, where processing is necessary to provide QOOBIX to the client.
  1. Legitimate interests, where processing is necessary to operate, secure, support, improve, and administer QOOBIX.
  1. Legal obligation, where processing is necessary for accounting, tax, compliance, or legal requirements.
  1. Consent, where consent is specifically requested for a particular purpose.

2.5 AI-assisted processing

QOOBIX uses AI-assisted generation to create structured market-intelligence outputs.

Information entered into QOOBIX may be sent to an AI service provider through server-side API calls in order to generate reports, summaries, workbooks, recommendations, and structured intelligence.

Clients should not enter unnecessary personal data, special category data, confidential third-party data, or information they are not authorised to process.

2.6 Third-party service providers

QOOBIX may use technical service providers for hosting, deployment, database, storage, AI generation, and operational infrastructure.

Current providers may include:

  1. Vercel for hosting and deployment.
  1. Supabase for database and file storage.
  1. OpenAI for AI-assisted generation.

These providers process data only as needed to provide technical services to Sienda Ltd.

2.7 International transfers

Some service providers may process data outside the United Kingdom.

Where required, Sienda Ltd will rely on appropriate safeguards for international transfers, such as adequacy arrangements, standard contractual clauses, data processing agreements, or other lawful mechanisms.

2.8 File retention

Generated files are normally retained temporarily.

Unless otherwise configured or agreed, generated DOCX and XLSX files are retained for 30 days and may then be deleted.

Temporary signed download links may expire earlier, for example after four hours.

The client is responsible for downloading and retaining any files it needs.

2.9 Data not intended to be stored permanently

QOOBIX is designed as an export-first system. It is not intended to operate as a permanent intelligence database, CRM, lead repository, or permanent archive of generated market intelligence.

Generated intelligence is primarily delivered through downloadable files.

2.10 Security

Sienda Ltd uses reasonable technical and organisational measures to protect QOOBIX, including private access codes, hashed access credentials, session controls, temporary signed download links, hidden provisioning areas, admin access protection, operational logs, and limited file retention.

No system can be guaranteed completely secure. Clients must also keep access codes, recovery phrases, private links, and downloaded files secure.

2.11 Cookies

QOOBIX uses essential cookies to manage private client sessions and access control.

At launch, QOOBIX does not use advertising cookies, behavioural tracking cookies, or third-party marketing cookies.

2.12 Your rights

Depending on the circumstances and applicable law, individuals may have rights to access, correct, erase, restrict, object to, or receive a copy of their personal data.

Sienda Ltd may need to verify identity before responding.

2.13 Complaints

If you have a concern about privacy or data protection, contact privacy@siendaweblines.com first.

You may also have the right to complain to the UK Information Commissioner’s Office.

Sienda Ltd may update this Privacy Policy from time to time. The latest version will apply from the effective date shown above.
